Clinical Privacy Notice

How we handle the information you share in the Clinician Questionnaire and pilot

This notice explains what information bakbakum collects when you complete the Clinician Questionnaire or take part in our clinical pilot, why we collect it, and the rights you have. It is written to comply with the EU General Data Protection Regulation (GDPR / DSGVO) and applicable German data protection law.

The party responsible for this processing (the “controller”) is Rafid Mohammad Ahsan, operating under the bakbakum brand. You can reach us at any time at privacy@bakbakum.app.

In short

  • We only collect what the questionnaire asks of you
  • Your answers are used for market validation and product development
  • No patient or child data is collected through this questionnaire
  • The form runs on Google Forms, acting as our processor
  • Participation is voluntary — you can withdraw and request deletion anytime

Purpose: market validation

Your responses help us understand clinical workflows and validate whether bakbakum solves a real problem before we build further. They inform product and clinical development decisions.

Voluntary & consent-based

Answering is entirely your choice. We rely on your consent, which you can withdraw at any time without any disadvantage to you.

No patient data

This questionnaire is about your professional experience. We do not ask for — and you should not enter — any information that identifies a patient or a child.

1. Who is responsible

The controller for the data described here is Rafid Mohammad Ahsan, operating the bakbakum project. For any question about this notice or your data, contact privacy@bakbakum.app.

We are not legally required to appoint a Data Protection Officer for this early-stage processing, but the contact above is responsible for all privacy matters.

2. What information we collect

Through the Clinician Questionnaire we may collect the following information that you provide:

  • your practice name and practice address
  • the approximate number of children with Speech Sound Disorder and/or cochlear implants you treat per week
  • how you currently communicate home-practice exercises to parents (free text)
  • your professional assessment of parent adherence, error rates, and time spent preparing home practice
  • how valuable and useful you would find the proposed tool (rating scales)
  • your main concern about adoption, your willingness to trial, and the monthly price you would consider reasonable
  • any free-text you add in an “Other” field, and contact details only if you choose to provide them for a trial
  • limited technical metadata recorded by the form, such as the submission timestamp

3. This is professional data, not patient data

The questionnaire asks only about your professional experience and opinions. Please do not enter any name, identifier, or other detail that could identify an individual patient or child.

Note that your practice name and address can, on their own, identify you or a small practice. We therefore treat your responses as personal data and protect them accordingly.

4. Why we process this information

  • to validate the market need and understand how speech therapy practices work today
  • to inform the product development and clinical validation of bakbakum
  • to research realistic pricing for the service
  • to identify and contact practices that have expressed interest in a pilot or trial
  • to produce aggregated, anonymised insights about clinical needs and demand

5. Legal basis (Art. 6 GDPR)

We process your questionnaire responses on the basis of your consent (Art. 6(1)(a) GDPR), which you give by voluntarily submitting the form.

If you provide contact details to take part in a trial, we process those details to contact you on the basis of your consent and of taking steps at your request prior to a possible agreement (Art. 6(1)(b) GDPR).

We do not ask for special categories of personal data (Art. 9 GDPR).

6. Hosting and who can access the data

The questionnaire is hosted on Google Forms and the responses are stored in Google Workspace (Google Sheets / Google Drive). Google acts as our data processor under a data processing agreement.

Access to the responses is limited to the bakbakum project owner. We do not sell your data, and we do not share it with advertisers.

  • Google Ireland Ltd. / Google LLC — form hosting and storage (processor)
  • professional advisors or future team members, only where necessary and bound by confidentiality
  • public authorities, only where we are legally required to disclose

7. International data transfers

Because we use Google, some data may be processed on servers outside the European Economic Area, including in the United States. Such transfers are safeguarded by the EU Standard Contractual Clauses and/or the EU–US Data Privacy Framework.

8. How long we keep your data

We keep identifiable questionnaire responses only for as long as needed for the validation and pilot phase — at most 24 months after the pilot concludes — after which they are deleted or anonymised.

Aggregated or anonymised insights that can no longer be linked to you may be retained indefinitely, as they are no longer personal data.

9. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you
  • have inaccurate data corrected (rectification)
  • have your data deleted (erasure)
  • restrict or object to our processing
  • receive your data in a portable format
  • withdraw your consent at any time, without affecting the lawfulness of processing before withdrawal

10. Right to lodge a complaint

If you believe we have handled your data unlawfully, you have the right to lodge a complaint with a data protection supervisory authority. In Germany, this is the data protection authority of your federal state (Landesdatenschutzbehörde).

11. Automated decisions

We do not use your questionnaire responses for any automated decision-making or profiling that produces legal or similarly significant effects.

12. Changes to this notice

We may update this notice as the pilot evolves. The current version is identified by the effective date shown at the top of this page.
